4. Importing estimates

4.1 Estimate from Google Sheets, Excel or PDF

Why. Transfer a ready-made estimate in minutes, instead of retyping it manually.

How to do it.

  1. Estimates → "Import".
  2. Upload an Excel, CSV or PDF file, or paste a Google Sheet link. The sheet must be accessible via the link.
  3. Check what each column means (name, quantity, price, etc.). The system usually detects this automatically.
  4. Select which room to import into, or keep the breakdown from the file → "Import".

What the system understands automatically.

  • Estimate sections ("Kitchen", "Bedroom") become project rooms: existing or new ones.
  • If one item is for several rooms ("Kitchen 2, Bedroom 1"), it is stored as one row, with each room having its own share and total.
  • Photos from cells are placed in their respective positions.
  • Dimensions are taken from a column, from the description, or from the product page via a link.
  • In PDF, scans are also recognized, and sums are checked against the total.

Good to know.

  • First, items are created, then data from links is pulled in the background. Dead links are marked.
  • "Optional" items are not included in the total.
  • Made a mistake? → "Activity Feed" → "Undo import".

4.2 Supplier quote

How to do it. Estimates → "Import" → upload the quote → enable "This is a supplier quote", specify "Quote no." and "Quote date". To attach a quote to an existing item without duplicates, use "Supplier quote" in "Vendor & payment" (section 3.8).

4.3 Receipts, invoices and quotes in bulk

Why. Spread many supplier receipts, invoices and quotes across the estimate at once instead of attaching each document to an item by hand.

How to do it.

  1. Project → "Estimates" (the project-wide estimate, not a room estimate) → the "Receipts & quotes" button next to "Import".
  2. Add documents: "Choose files", "Choose folder", or drag files and folders into the window. For a Google Drive folder, paste the link into "Google Drive folder or file link" and click "Load".
  3. Each file (PDF, JPG, PNG, WEBP) is read: document type, supplier, date, amount, lines — and an estimate item is suggested. Check the table: item, amount and "Advance" or "100% payment".
  4. Click "Apply".

Good to know.

  • The Google Drive folder must be shared with "Anyone with the link". Subfolders are skipped, up to 100 files at a time.
  • Nothing changes in the project until you click "Apply".
  • Delivery on a receipt goes into the same item; no separate
  • The model marks delivery by meaning, whatever it is called. If a delivery line was missed, open “Document lines” in the document row and tick the truck box."Delivery" item is created.
  • If the receipt total is less than the item, the payment counts as an advance and a warning appears. If it is the full payment, choose "100% payment".
  • The payment date comes from the receipt or invoice. A re-uploaded receipt is flagged as a duplicate. Items not yet approved are never paid automatically.
  • Made a mistake — "Undo the whole batch". Files go to Files → "Invoices, payments, receipts".
